Billing and Usage Terms
How Heista charges for plans, seats, add-ons, usage and AI Credits, when you are charged, how to cancel, and how to raise a billing question. Each section opens with a short summary in plain English; the full wording beneath it is what applies.

1. About these Billing Terms
In short
These Billing Terms are part of our Terms of Service. They explain what you pay for and when. Prices themselves are on our pricing page and shown before you buy.
- These Billing and Usage Terms (“Billing Terms”) apply to every Heista workspace, on every plan, and form part of the Terms of Service. Words defined in the Terms of Service have the same meaning here.
- Current prices and rates (“Published Rates”) are shown on the Heista pricing page and in the app, and are confirmed to you before you subscribe, add seats or add-ons, or buy AI Credits. The Published Rates in effect when a charge accrues are the ones that apply to it.
- A signed Enterprise agreement or order form takes priority over these Billing Terms where the two conflict.
- Nothing in these Billing Terms limits rights you have under the Australian Consumer Law or other laws that cannot be excluded (see section 17).

3. How billing works
In short
Your plan, seats and add-ons are charged at the start of each month, in advance. AI Credits are bought upfront. Extra brands are charged like seats; extra library items and storage are added to the following invoice, itemised, after the month they were used.
- Subscriptions are charged in advance. Plan, Seat and add-on fees are charged at the start of each Billing Period and renew automatically every month until you cancel.
- AI Credits are prepaid. You buy them before you spend them, as a one-off purchase or an automatic top-up you switch on (section 10).
- Usage Charges are added to your invoices. Extra brands are charged like Seats, monthly in advance, with any brands added during a Billing Period charged pro rata on the next invoice (section 6). Extra library items and extra storage are charged in arrears, on the invoice at the start of the next Billing Period, or on a final invoice if your Subscription ends (sections 7 and 8).
- Each invoice lists its charges separately: the plan and Seats, each add-on, “Extra brands”, “Extra library items” and “Extra storage” with the quantity, the period and the rate, any proration, and tax.
- Invoices and receipts are issued by Stripe, our payment provider, to the billing email for your workspace, and are available in Settings.
4. Plans, seats and add-ons
In short
Free costs nothing. Paid plans are charged per seat per month. Added seats and add-ons start straight away and are charged pro rata; removing them takes effect at the end of the month.
4.1 Plans
- The Free plan has no fee and comes with the Allowances shown on the pricing page. It does not renew or charge you anything.
- Paid plans are charged per Seat for each Billing Period. Every workspace on a paid plan has at least one Seat.
- What each plan and add-on includes, including its Allowances, is shown on the pricing page and in Settings.
4.2 Seats
- Seats you add take effect immediately. You are charged for the rest of the current Billing Period pro rata at the time you add them, and the full Seat fee from the next Billing Period.
- Seat reductions take effect at the end of the current Billing Period. There is no refund for the rest of that period.
- You cannot reduce Seats below the number in use (members plus pending invitations).
4.3 Add-ons
- Add-ons, such as the Agency add-on, are charged per workspace for each Billing Period, in addition to Seat fees.
- An add-on you add takes effect immediately and is charged pro rata for the rest of the current Billing Period. An add-on you remove stays active until the end of the current Billing Period.
- Add-ons provide the features listed for them on the pricing page and in Settings.
5. Allowances and usage charges
In short
Each plan includes allowances for brands, library items and storage. Since 11 October 2026, going above them on a paid plan is charged automatically at the published rates. On Free, allowances are limits. Any future rise in a usage rate, or cut to an allowance, comes with at least 30 days’ notice and the right to cancel first.
5.1 Allowances
Your plan and any add-ons include Allowances for brands, library items and storage, as shown on the pricing page and on the Usage page. Allowances are per workspace, not per Seat, unless the pricing page says otherwise. Unused Allowances do not carry over to the next Billing Period.
5.2 Usage Charges Start Date
- Usage Charges apply from 11 October 2026 (the Usage Charges Start Date). Usage before that date is never charged.
- The Published Rates for Usage Charges are shown on the pricing page and in the app. By subscribing to a paid plan, you agree to them.
5.3 How Usage Charges work
- On a paid plan, usage above your Allowances is charged automatically at the Published Rates, as measured under sections 6 to 9. We do not ask you to approve each item. By subscribing, you authorise these charges.
- Owners and admins can see current usage and the estimated Usage Charges for the current Billing Period on the Usage page at any time (section 11).
- The first time in a Billing Period that your workspace goes above an Allowance, we email the workspace owner.
- Usage Charges apply only to paid plans paid through our payment provider. On the Free plan, and on any plan we provide free of charge by agreement, Allowances are limits and no Usage Charges apply: when you reach one, you cannot add more of that resource until you make room or upgrade. Nothing you already have is deleted or hidden.
- We will give you at least 30 days’ notice before raising a Usage Charge rate or reducing an Allowance, and you can cancel before the change applies (section 15).
6. Extra brands
In short
On a paid plan, each brand above your allowance is charged monthly at the published rate, like a seat. A brand you add mid-month is charged from that day on your next bill. Deleting a brand lowers your next bill, and deleting and re-adding one in the same month never charges twice.
- Extra brands are the number of active brands in your workspace above your brand Allowance. Brands you have deleted do not count, even while they can still be restored.
- Extra brands are charged at the Published Rate per brand per month, like Seats. At the start of each Billing Period, the number of extra brands you have then is charged for that Billing Period, in advance.
- If during a Billing Period you go above the highest number of extra brands already charged for that period, each additional extra brand is charged pro rata from the day it was added. That amount is added to your next invoice rather than charged straight away.
- If you delete a brand, it stops counting immediately. There is no refund for the rest of the Billing Period, and your next invoice is lower. Within a Billing Period you are never charged for more extra brands than the highest number you held at any one time, so deleting and re-adding a brand does not charge you twice.
- Your invoice shows these charges as “Extra brands”.
7. Extra library items
In short
Library items are counted once a day. On a paid plan, you pay for the average number above your allowance across the month, on the next invoice. Deleting items lowers the average from the next day.
- A library item is a custom item your workspace saves to its library, such as a custom model, outfit, style or other saved custom item, as counted on the Usage page.
- Library items are counted once a day, at about 04:15 UTC. For each day, the number above your library Allowance that day is recorded (the Allowance can change during the period, for example if you add an add-on). An item you delete is not counted from the next daily count.
- Your extra library items for a Billing Period are the average of those daily numbers over every day in the period. You are charged that average multiplied by the Published Rate per item per month, rounded to the nearest cent, on the invoice at the start of the next Billing Period. For example, at $0.30 per item, an average of 3.4 items above your Allowance is charged $1.02.
- Days before the Usage Charges Start Date, before your paid Subscription started or after it ended count as zero. If a daily count is missed, the previous day’s count is used. If fewer than half of the daily counts for a Billing Period are available, we do not charge for library items for that period.
- Your invoice shows this charge as “Extra library items”, with the average, the period and the rate.
8. Extra storage
In short
Storage is measured once a day and averaged over the month, so a short spike costs little. On a paid plan, you pay for the average above your allowance per GB, on the next invoice.
- Storage is the total size of the files stored for your workspace, such as uploads, brand documents and generated images and video, as shown on the Usage page. One GB is 1,073,741,824 bytes.
- Storage is measured once a day, at about 04:15 UTC. For each day, the amount above your storage Allowance that day is recorded. A file you delete is not counted from the next daily measurement.
- Your extra storage for a Billing Period is the average of those daily amounts over every day in the period. You are charged that average in GB multiplied by the Published Rate per GB per month, rounded to the nearest cent, on the invoice at the start of the next Billing Period. For example, at $2 per GB, an average of 1.25 GB above your Allowance is charged $2.50.
- Days before the Usage Charges Start Date, before your paid Subscription started or after it ended count as zero. If a daily measurement is missed, the previous day’s measurement is used. If fewer than half of the daily measurements for a Billing Period are available, we do not charge for storage for that period.
- Your invoice shows this charge as “Extra storage”, with the average, the period and the rate.
9. New chargeable features
In short
If we launch a new feature that costs extra, such as publishing presentations, we publish its price and how it is measured first, and you are only charged if you use it.
We may introduce new features that carry a charge. Before any such charge can apply, we will publish its rate and how it is measured on the pricing page and in these Billing Terms, and show it in the app where you use the feature. A charge for a new feature applies only when you choose to use that feature after its rate is published. Adding a new chargeable feature never changes the price of anything you already pay for; section 15 covers price changes.
10. AI Credits
In short
AI Credits are a prepaid balance your whole workspace shares. AI models are charged at the provider’s cost with no markup. A 4.9% AI Infrastructure Fee is added when you buy Credits. Credits you buy last 90 days; complimentary Credits included with a plan expire at the end of each monthly cycle (30 days on Free) and don’t roll over.
10.1 One balance per workspace
AI Credits belong to the workspace and are drawn from one balance across the web app, the API and other integrations, by every member. One Credit corresponds to US$1.00 of usage at the rates shown in the app at the time of the action. Section 5 of the Terms of Service explains what Credits are and are not.
10.2 How AI usage is priced
- Actions that use third-party AI models are charged at the cost our AI gateway provider reports for that action, with no Heista margin added.
- Heista’s own tools, such as ad decoding, are charged at the prices shown in the app.
- The cost shown before an action is an estimate. The amount charged is the actual cost of the action, which can differ with the settings chosen and with provider price changes.
- If a paid action fails and delivers nothing, you are not charged for it, or the Credits are returned to your balance.
10.3 Buying Credits and the AI Infrastructure Fee
- You can buy Credits at any time in Settings. The price of the Credits, the AI Infrastructure Fee and the total you will pay are shown before you confirm.
- An AI Infrastructure Fee of 4.9% of the Credit purchase price is added to every Credit purchase, including automatic top-ups. It covers access to AI model infrastructure, Credit provisioning and account administration. It is not a fee for the payment method you use, and it is the same whichever way you pay. It is not converted into Credits.
- Automatic top-ups happen only if you switch them on. When your balance falls below the threshold you set, we charge your saved payment method for the Credit pack you chose, plus the AI Infrastructure Fee and any tax, and email you a receipt. There are at most 3 automatic top-ups in any 24 hours, and automatic top-ups switch themselves off after 3 failed charges. You can switch them off at any time in Settings.
- Receipts issued before October 2026 may call the AI Infrastructure Fee the “AI Credits Management Fee”. It is the same fee.
10.4 Expiry
- Purchased Credits expire 90 days after the date of purchase, or after any longer period stated when you buy them. We will not shorten the expiry of Credits you have already bought. We email the workspace before a balance expires.
- Credits closest to expiry are used first.
- Expired Credits are removed from your balance and are not refunded, except where the law requires.
- Complimentary or promotional Credits, such as Credits granted on sign-up, in a pilot or included with a plan, have no cash value, expire on the date stated when they are granted, and are used before purchased Credits that expire later.
10.5 Complimentary Credits included with a plan
- Where the pricing page says a paid plan includes complimentary monthly AI Credits, they are granted when each Subscription invoice is paid, in proportion to the Seat fees on that invoice (so a Seat added part-way through a Billing Period earns a pro-rata amount). They expire at the end of the Billing Period they were granted for, do not roll over, have no cash value and are not refundable. If an invoice is never paid, or is paid only after its Billing Period has ended, no complimentary Credits are granted for it.
- Where the pricing page says the Free plan includes a one-time complimentary Credit amount, it is granted once per new workspace and expires 30 days after it is granted. It does not roll over.
- Complimentary Credits are not granted on plans we provide free of charge by agreement, unless we agree otherwise in writing.
10.6 Credits when your plan changes
Purchased Credits are not tied to your plan. If you change plan, cancel your Subscription or move to the Free plan, your unexpired purchased Credits stay in the workspace, keep their original expiry date and can be spent on any feature available to the workspace’s plan until they expire. Their expiry does not pause.
11. Usage reporting and estimates
In short
You can see your usage and an estimate of your next bill at any time. The estimate is a guide; the invoice is calculated from our final usage records.
- Owners and admins can see the workspace’s current usage against its Allowances, AI Credit spend and billing history in Settings.
- Figures shown during a Billing Period, including estimated charges, are provisional. They can change as the period continues and as late records arrive, for example an AI provider reporting a cost after an action finishes.
- Your invoice is calculated from Heista’s final usage records for the Billing Period. Those records are the basis of the charge unless they contain an error, and section 18 explains how to query them.
- We keep usage records for at least as long as we keep the related invoices, so that charges can be checked.
12. Agency add-on and spending controls
In short
Spending limits for members control how many AI Credits each person can use. They do not limit your plan, seats, add-ons or usage charges.
- Where your workspace has member spending limits (included with the Agency add-on), owners and admins can cap how many AI Credits an individual member can spend. A member who reaches their limit cannot start further paid AI actions until the limit is raised or resets.
- Where your workspace has the “Who can add paid extras” setting, the workspace owner can choose whether everyone with a Seat, or only owners and admins, may add brands, library items or storage above your Allowances. Until the owner changes it, everyone with a Seat can.
- Member spending limits apply to AI Credit spend only. They do not limit Subscription fees, Seats, add-ons, Usage Charges or automatic top-ups, which remain the workspace’s responsibility. The “Who can add paid extras” setting controls who can create usage above your Allowances; it does not cap the amount.
- You are responsible for charges incurred by members you invite and by API keys you create, within the limits you set.
13. Payment and failed payments
In short
We charge the card or payment method saved for your workspace. If a payment fails, we retry and email you; if it still isn’t paid, paid features may be paused until it is. Your work is never deleted for a failed payment.
- Payments are processed by Stripe. By adding a payment method, you authorise us to charge it for Subscription fees, Seats, add-ons, Usage Charges, AI Credit purchases and automatic top-ups you switch on, as described in these Billing Terms.
- You must keep a valid payment method on file while you have a paid Subscription. You can update it in Settings.
- If a payment fails, we will tell you by email and retry it over the following days. You can pay an outstanding invoice from the link in that email or in Settings.
- If an amount remains unpaid 14 days after we first tell you it failed, we may pause paid features, such as creating new work and AI actions, until it is paid. Your existing content is kept and stays accessible to export. Section 19 of the Terms of Service applies to longer non-payment.
- We do not charge interest or late fees.
14. Cancelling, downgrading and closing
In short
You can cancel online at any time in Settings. You keep your plan until the end of the month you’ve paid for, then move to Free. Nothing is deleted when you downgrade. Any usage charges already incurred are billed on a final invoice.
- The workspace owner can cancel your Subscription at any time in Settings, without contacting us. Cancellation takes effect at the end of the current Billing Period. You keep paid features until then, and no further Subscription fees are charged.
- When a paid Subscription ends, the workspace moves to the Free plan and its Allowances. Nothing is deleted. Brands above the Free Allowance stay visible but are locked from editing, and you cannot add library items or files above the Free Allowances until you are under them.
- Extra library items and extra storage for your final Billing Period, and any unpaid amounts, are charged on a final invoice. If we end your Subscription and refund it in full, for example after a billing error, we do not charge Usage Charges for that period.
- Unexpired purchased AI Credits stay with the workspace after you cancel (section 10.6). If you delete your workspace, section 19 of the Terms of Service applies.
15. Changes to prices and rates
In short
We give at least 30 days’ notice before increasing a price or rate, and you can cancel before it applies. Changes never apply to charges already incurred.
- We may change plan, Seat and add-on prices, Usage Charge rates, Allowances and the AI Infrastructure Fee, for example to reflect changes in our costs or in the Service.
- For a change that increases what you pay or reduces an Allowance, we will give you at least 30 days’ notice by email to the workspace owner and billing contact, and in the app. The notice will say what is changing and when.
- A price change applies from the first Billing Period that starts after the notice period ends. A Usage Charge rate or Allowance change applies only to usage after it takes effect. No change applies to charges already incurred or to AI Credits already bought.
- If you do not agree to a change, you can cancel before it takes effect, and it will not apply to you. If a change takes effect part-way through a period you have already paid for, you can instead cancel within 30 days of it taking effect and receive a pro-rata refund of the prepaid fees for the rest of that period.
- Price reductions and larger Allowances can take effect immediately.
16. Taxes
In short
Prices are in US dollars and exclude GST. Australian customers pay 10% GST on top, shown on a tax invoice. Customers outside Australia are not charged Australian GST.
- Prices and rates are in US dollars and exclude taxes, unless they say otherwise.
- Heista is registered for GST in Australia. Australian customers pay 10% GST on top of the price, calculated at checkout and shown on a tax invoice.
- Customers based outside Australia are generally not charged Australian GST. GST can still apply where the Service is provided to people in Australia, for example an overseas business whose team works in Australia. GST is worked out from the billing address and tax ID you give us, so please keep them accurate. You can add your business tax ID at checkout, and it will appear on your invoices.
- The AI Infrastructure Fee and Usage Charges are taxed in the same way as the purchase they relate to.
- You are responsible for any other taxes, duties or withholdings that apply to you, other than taxes on our income. If you must withhold tax from a payment, you must pay us the amount we would have received without the withholding.
17. Refunds and your consumer rights
In short
We don’t refund for a change of mind, such as stopping part-way through a month, and spent Credits aren’t refunded. But you always keep your rights under the Australian Consumer Law, including a refund where we fail to deliver what we promised.
- Our services come with guarantees that cannot be excluded under the Australian Consumer Law. For major failures with the service, you are entitled to cancel your service contract and to a refund for the unused portion, or to compensation for its reduced value. You are also entitled to choose a refund or replacement for major failures with goods. If a failure does not amount to a major failure, you are entitled to have problems with the service rectified in a reasonable time and, if this is not done, to cancel your contract and obtain a refund for the unused portion of the contract.
- We do not give refunds for a change of mind. Apart from your rights under the Australian Consumer Law and any others that cannot be excluded, Subscription, Seat and add-on fees are not refunded for part of a Billing Period when you cancel, remove Seats or add-ons, or stop using the Service, and AI Credits that have been spent are not refunded.
- If none of the Credits from a purchase have been spent, you can ask us to refund that purchase in full, including the AI Infrastructure Fee, within 14 days of buying it. After that, or once any of them have been spent, refunds of unspent Credits are at our discretion, except where the law or section 18 of the Terms of Service requires one.
- If you are charged in error, including for an action that failed and delivered nothing, or for usage that was measured incorrectly, we will correct the charge and refund or credit the difference.
- Refunds go back to the original payment method. A refunded Credit purchase removes the refunded Credits from your balance.
18. Billing questions and disputes
In short
If a charge looks wrong, email us within 60 days and we’ll investigate. Please talk to us before disputing a charge with your bank. We won’t pause your account over a charge you’ve raised with us in good faith while we look into it.
- If you think a charge is wrong, email support@heista.co with the subject “Billing query”, your workspace name, the invoice or receipt number and what you think is wrong. Please do this within 60 days of the invoice date, so the records are still easy to check. Raising a query later does not remove any right you have under the law.
- We will acknowledge your query within 5 business days and give you our answer, with the usage records behind the charge, within 30 days.
- While we investigate a query raised in good faith, we will not pause your account or treat the amount in question as overdue. You must still pay the parts of the invoice that are not in question.
- If we find an error, we will correct it and refund or credit the difference to the original payment method or as Credits, at your choice.
- Please contact us before disputing a charge with your bank or card issuer. If a payment is disputed or reversed, we may pause paid features for the amount in question until the dispute is resolved. If the dispute is decided in our favour, the amount remains payable.
- If we cannot resolve a billing dispute together, section 23 of the Terms of Service applies.
19. Contact
In short
Billing questions go to support@heista.co.
- Billing questions and disputes. Use the subject line “Billing query”, and include your workspace name and the invoice or receipt number.
- Cancelling. Cancel any time in Settings. If you cannot, email us and we will cancel it for you.
